Privacy Policy  (according to Art. 13 DSGVO)

Purposes of processing, categories of data, legal basis, duration of processing and transfer of data.

Registration and implementation

For registration for the conference, we process data from the Registration Form (https://conference2.aau.at/event/324). The processing of this data takes place based on Art. 6 para. 1 lit. b DSGVO (contract performance/contract initiation). The personal data you provide is necessary for the implementation and processing of the event (registration, communication, administration, documentation), and participation is not possible without them. The data will not be passed to third parties outside the event organization. We store and process the data for the registration and execution of AAPC24 and beyond, as long as legal retention obligations require this, legal claims can be asserted against the university, or a legitimate documentation interest on the part of the university exists.

 

Registration with account

You can create an account in the event tool we use. In doing so, we process your first name, last name, email address, username and password based on your consent following Art. 6 para. 1 lit. a DSGVO. The creation of an account is required to register for the AAPC24.  Account data will not be shared with third parties. You have the right to delete your account at any time.

So that the system can recognize that you are logged in, so-called session cookies are set. These small text files are stored on your terminal device with the help of the browser. They do not cause any damage. Some cookies remain stored on your end device until you delete them. They enable us to recognize your browser on your next visit. If you do not wish this, you can set your browser so that it informs you about the setting of cookies, and you only allow this in individual cases.

 

Picture and video recordings during the event

Photographs will be taken during the event for documentation purposes. This data is processed based on Art. 6 (1) lit. f GDPR (legitimate interest of Klagenfurt University ineffective press and public relations work to accompany the event and its documentation). The photos are not aimed at highlighting individuals. They will be published in whole or in part in print media, on the Internet (e.g. on the homepage) and, based on their separate consent, on social media platforms (e.g. Facebook) of Klagenfurt University. Regarding publication on social media platforms, it cannot be ruled out that photos will be transmitted to and processed in the USA or other third countries that are not secure under data protection law. We want to point out that no level of data protection comparable to that in the EU can be guaranteed in these countries. Photos will be deleted as soon as there is no longer a justified interest in the presentation of the respective event or you revoke the consent granted concerning social media platforms.

 

Sending invitations to future meetings.

Sending invitations to individuals from existing contact databases who have already attended the AAPC is based on the legitimate interest of the University according to Art 6 para 1 lit f DSGVO and is carried out within the framework of § 174 para 4 Z 2 TKG.

You have the right to object to this processing at any time. From this point on, you will no longer receive invitations. Please contact: aapc2024@aau.at

 

Data subject rights

You have a right of access to verify whether and which personal data we have stored about you, a right to rectify your personal data that is incorrect, a right to erasure your personal data that is not (any longer) processed following the law, and in this context a right to restriction of processing. You also have a right to data portability. If the processing is based on consent, you have the right to withdraw your consent at any time without giving reasons. You have a right to erasure personal data if you withdraw your consent on which the processing was based, and there is no other legal basis for the processing. The lawfulness of the data processing until your revocation remains unaffected. Insofar as we base any processing of your personal data on overriding legitimate interests, you have a right to object. You also have a right to complain to the University's Data Protection Officer (dsb@aau.at) or the Austrian Data Protection Authority (www.dsb.gv.at/kontakt).

Retention of consent

According to Art. 5 (2) DSGVO, every Responsible for data processing is obliged to be able to prove compliance with all data protection principles (as defined in Art. 5 (1) DSGVO). Therefore, we process your declaration of consent on the basis of this accountability for the purpose of proving that we have collected the data lawfully and may process them. We do not pass on your declaration of consent to third parties and process it for as long as we need it to prove the lawfulness of the processing, i.e. for as long as corresponding measures by the supervisory authority or the assertion of claims for damages by a data subject are to be expected.
